Thank you for choosing to participate in the Latornell Conservation Symposium.

We kindly ask that you take a moment to review the Exhibitors’ Guide, which contains all the essential information to help you prepare and set up your exhibit. Our on-site event coordinator will be available throughout the Symposium to assist you with any needs or questions you may have.

Exhibitor Hall Trade Show Hours
Monday, November 3, 2025 | 8:00 a.m. – 6:00 p.m.
Tuesday, November 4, 2025 | 8:00 a.m. – 5:00 p.m.

Exhibitor Details

  • All exhibitors must register before setting up at the Registration Desk in the main lobby.
  • Exhibit Booth should be set up by 8:30 a.m. to maximize engagement and face-to-face time with delegates.
  • Move-out will begin at the end of the Symposium on November 4 at 5:00 p.m. To accommodate delegates throughout the day, we recommend dismantling and removing your exhibit at 5:00 p.m. Your cooperation is greatly appreciated.

Exhibitor Hall Access Only Passes and Lunch Buffet Tickets
Exhibitors receive four (4) Exhibitor Hall Access Only Passes. The passes will give your company’s booth attendants access to the Exhibit Hall only. Meals and participation in the sessions, plenary, and workshop are excluded.

Tuesday and Wednesday Lunch Buffet Tickets can be purchased for booth attendants for $40+HST each. Conservation Ontario will follow up and invoice your organization for the cost.

Exhibit Booth Specs
Exhibit booths include the following:

  • 10’ wide x 8’ deep booth (The booths along the two outside walls will have a hard wall, and the booths on the inside aisles will have 6’ drapery at the back of each booth space.)
  • One draped 6’ table
  • Two chairs
  • Complimentary power outlet
  • Complimentary wireless internet
  • IMPORTANT: To avoid conflicts with the venue’s WIFI network, don’t bring your own WIFI router. If you have special requirements for WIFI, such as a dedicated network name (SSID) or a private local network (VLAN) for your demo, or require hard-wired internet access, please contact Craig McLaren at craig@s4entertainment.com or 905-326-4822 for an estimate.

By exhibiting at the Latornell Conservation Symposium, you acknowledge that photography, audio, and video recording may occur during the event.

Your presence at the event venue grants permission for you to be photographed, filmed, or recorded. You further consent to the use, publication, distribution, and reproduction of any recorded media that includes your image, voice, and/or name for any purpose related to the Latornell Conservation Symposium and its initiatives. This includes, but is not limited to, use on websites, social media platforms, newsletters, and for advertising and promotional purposes.
