Thank you for choosing the Latornell Conservation Symposium.
We kindly ask that you take a moment to review the Exhibit Guide, which contains all the essential information to help you prepare and set up your exhibit booth. Our on-site event coordinator will be available throughout the Symposium to address any of your questions or concerns. We look forward to seeing you at the event and are excited to have you as a sponsor.

Exhibit Hall Hours
Tuesday, November 3, 2026 | 7:30 a.m. – 6:30 p.m.
Wednesday, November 4, 2026 | 7:30 a.m. – 3:45 p.m.
Exhibit Details
- All exhibitors must register before setting up at the Registration Desk in the main lobby.
- Exhibit Booths should be set up and ready by 7:30 a.m. on Day 1 to maximize engagement and face-to-face time with delegates.
- Move-out will begin at the end of the Symposium on November 4 at 3:45 p.m. To accommodate delegates throughout the day, we recommend dismantling and removing your exhibit at 3:45 p.m. Your cooperation is greatly appreciated.
Exhibit Booth Specs
Exhibit booths include the following:
- 10’ wide x 8’ deep booth
- One draped 6’ table
- Two chairs
- Complimentary power outlet
- Complimentary WIFI
Shipping & Storage of Exhibitor Materials
Exhibitor materials can be delivered to the venue up to 72 hours prior to the start of the Symposium.
Shipments received more than 72 hours in advance will be subject to a storage fee of $100 + HST per day, which will be charged to the Exhibitor.
If your items require storage at the Symposium venue, please email sponsorship@latornell.ca in advance to make the necessary arrangements.

Exhibit Hall Access Only Passes and Lunch Buffet Tickets
Exhibitors receive two (2) Exhibitor Hall Access Only Passes. The passes will give your organization’s booth attendants access to the Exhibit Hall Only. Meals and participation in the sessions, plenary, and workshop are excluded.
Meal tickets for booth attendants are available for purchase at an additional cost. Your organization will be invoiced by Conservation Ontario for any meal tickets purchased.
- Tuesday, November 3 (Lunch) – $65 (HST included)
- Tuesday, November 3 (Dinner) – $110 (HST included)
- Wednesday, November 4 (Lunch) – $65 (HST included)
Notice of Photography and Filming
By exhibiting at the Latornell Conservation Symposium, you acknowledge that photography, audio, and video recording may occur during the event.
Your presence at the event venue grants permission for you to be photographed, filmed, or recorded. You further consent to the use, publication, distribution, and reproduction of any recorded media that includes your image, voice, and/or name for any purpose related to the Latornell Conservation Symposium and its initiatives. This includes, but is not limited to, use on websites, social media platforms, newsletters, and for advertising and promotional purposes.

Payment Details

- Sponsorship payments are due within 30 days of the invoice date. Conservation Ontario reserves the right to cancel the agreement if payment is not made by the sponsor by the due date.
Sponsorship Cancellation
If the sponsor cancels, a refund will be issued minus the following administrative fees. You can request a refund by contacting finance@conservationontario.ca.
- Until August 31: 30% administration fee
- Refunds will not be issued for cancellations received after Friday, September 25, 2026.
Event Cancellation
A full refund will be issued if the 2026 Latornell Conservation Symposium is cancelled by the organizer.
ADDITIONAL INFORMATION
- Sponsorship of the Latornell Conservation Symposium does not include registration unless expressly stated in the sponsorship benefits.
- Effort will be made to assign booth selections. The Symposium organizers reserve the right to make changes to the exhibit hall floorplan at any time and without advanced notice. Exhibitors may not reassign or sublet space allotted to them.
- The Symposium reserves the right to refuse applications to exhibit. If participation is refused, sums paid by the party having presented an application for participation will be refunded in full.
- Construction of exhibitor booths is the sole responsibility and expense of the exhibiting organization.
- Exhibit booths must be staffed during the stated exhibit hall hours by employees of the Exhibitor. The Symposium organizers reserve the right to stop activity on the part of an Exhibitor that may cause concern to other Exhibitors or attendees. Exhibitors must conduct business from their own booth.
- Exhibit booth displays must be contained in the space as contracted. Displays must not interfere with other displays. Canvassing or distributing advertising materials outside of the Exhibitor’s designated space is not permitted.
- Volatile or toxic substances are not permitted in the display areas.
- No Exhibitor events, receptions, promotions, or similar activities may be conducted during the hours of the exhibition or do anything that, in the judgement of the Symposium organizers, will in any way interfere with or compete for attendees while the Symposium is in progress.
- The Exhibit Hall will close on Tuesday, November 3 at 6:30 p.m. and on Wednesday, November 4 at 3:45 p.m. As tear down during exhibit hours is very disturbing to other exhibitors, tear down will not commence until the close of the Symposium.
- Exhibitors will not be permitted to store boxes or packing crates at their booths that are visible to delegates.
- Samples, catalogues, pamphlets, souvenirs, etc. may be distributed by Exhibitors and booth personnel within their booth.
- The Symposium organizers, its partners, volunteers or staff are not responsible for any loss, theft or damage to the property of the Exhibitor, his/her or its employees or representatives. Further, the Symposium organizers, its partners, volunteers or staff, will not be liable for damage or injury to persons or property from any cause whatsoever by reason of the use of occupancy of the booth space or the participation in the Symposium by the Exhibitor.
- Every Exhibitor hereby accepts liability for all acts or omissions of contractors, agents and visitors and others and undertakes to indemnify the Symposium organizers.
- The Exhibitor acknowledges that the Symposium organizers and the Venue do not maintain insurance covering the Exhibitor’s property and that it is the sole responsibility of the Exhibitor to obtain business interruption and property damage insurance covering such losses by the Exhibitor.
- Sponsorship of the Symposium does not include a position on the Latornell Conservation Symposium Steering Committee.
